The main goal is to consciously control how you spend time on significant tasks and activities, whether at work or in your personal, daily life.
In other words, not many people know how to be productive. But with a little help, you can become the master of your time. Here are popular time management methods you can use to improve your time management skills.
Firstly, planning helps to properly organize your work. Secondly, it gives you a detailed insight into all the things you need to do. If you can plan your daily, weekly, or monthly tasks, the rest comes easily. There are many ways to plan and organize your work:

The study conducted at Stanford University has shown that in situations where there are multiple sources of information coming from the external world or emerging out of memory, multitaskers are not able to filter out what’s not relevant to their current goal. That failure to filter means they’re slowed down by that irrelevant information.Do one task at a time to stay focused and engaged in your work.
It’s a way for the body to get rid of the tension caused by stress. It can also help clear your mind of unnecessary or disturbing thoughts, which only make your work worse.

Modal verbs are very common in English.
We use them to talk about ability, permission, obligation, requests, offers, suggestions etc. To give suggestions and advice we can use the modal verbs ‘could’, ‘should’, ‘ought to’, ‘had better’. Remember that modal verbs are always followed by a base form of a verb – an infinitive without ‘to’.
Should’ is used when the speaker wants to make a strong suggestion: The sun is shining bright, so you should wear a cap.
In more formal situations you can use ‘ought to’ instead of ‘should’, but this modal verb is not used in negative statements and questions: You ought to (should) wear a scarf. It’s very cold outside.

Note: Both should’ and ‘ought to’ are used to express advice, obligation or duty.
BUT: We use ‘should’ when we want to express our subjective opinion. In other words, ‘what I think is best for you to do’: You should call your mother more often.

Ought to’ is used when we want to express an objective truth, in other words, ‘what is necessary, and cannot be avoided’. That’s why we usually use ‘ought to’ when we are talking about laws, duties and regulations: They ought to follow the school’s policy, or they will get expelled.
If you want to give an important piece of advice, warning or recommendation (that can have a negative consequence if not followed), use ‘had better’: You had better (You’d better) leave for work, it’s 8 o’clock already.
Could’ is not as strong as ‘should’ and is normally used to give mild advice or to suggest a solution to some problem.

There are time management rules for different participants in the educational process. We will start with course time management, which consists of the most common recommendations. Course time management affects both teachers/tutors and students, so it is the right part to start with.
We should distinguish between a pure e-learning course without any personal contact between tutor and students and a combined form of teaching consisting of both classical teaching and e-learning support. A pure e-learning course should have a clear time axis with clearly defined activities such as studying the e-textbook, doing exercises, studying from other sources, doing training tests and other activities suitable for the specific course. The basic schedule for each course should include deadlines for each activity. Otherwise, students will postpone all activities and try to do everything the night before the exam, which will dramatically affect the quality of their knowledge.
For the tutor preparing the course it is important to consider each activity planned for the students from the point of view of time consumption, importance and influence on knowledge, skills or abilities.
The first phase is the definition of the activity. The tutor has to take into account the course objectives, the objectives of the specific part/chapter and find an appropriate activity that makes sense and contributes to the fulfillment of the specified objectives. The second phase is activity sequencing, which consists of an analysis of the activity and its decomposition into elementary parts, which will then allow the tutor to decide on the activity resources and to estimate the activity duration. The third and fourth phases are activity resource and duration estimation, which consists of the tutor’s estimation of what knowledge/skills/abilities the student needs to complete the given task and how long the activity takes. Then comes schedule development to fit the activity into the schedule of the whole course, taking into account its dramatization, motivation and other criteria. Finally, the schedule control allows the tutor to check once more whether the description of the activity and its position in the schedule make sense and help to fulfill the didactic objectives of the course.
The tutor’s role is very demanding to self-discipline and obeying the deadlines. The situation of the tutor is further complicated by the fact that he/she is running more than one course at a time and often a number of other activities. So the tutor has a lot of deadlines to keep track of and a lot of tasks and activities to manage.
Some common personal time management recommendations can be employed, e.g.:
  • Set up the to-do list (sometimes called master list) for each course and mark the deadlines clearly.
  • Manage courses regularly throughout the week. The week is the most common time element in the course, so it is a natural way to remember all the necessary activities.
  • Have a regular daily schedule. Some people are more active in the morning, others are night owls, so set your regular working hours and don't change them too often.
  • Don’t fragment the time. While working on one task, don’t interrupt the work. Other tasks will be done better after finishing the most important one. In addition, the ability to concentrate can be lost if there is too much switching back and forth between tasks.
  • Set SMART (Specific, Measurable, Assignable, Realistic, and Time-bound) goals for yourself and evaluate their achievement at the end of each course (or part of a course, or week, or other element, depending on the nature of the course).
  • Communicate efficiently with students. Give them clear and simple rules to minimize their questions. Answering the same questions over and over again is a time-consuming process, so work on the FAQ section of the course.
  • Delegate activities to other people. Some tasks may be carried out by students on the course, some by other (e.g. postgraduate) students, and some tasks may have already been carried out by someone else.
  • Provide a calm, pleasant and quiet environment in which to work. Try not to be interrupted while you are working. The work will be more efficient. There are of course some other recommendations that are specific to e-learning tutors:
  • Set up the time axes for each course. Then merge them into one real time axis to see all the deadlines clearly and not to forget any. A long piece of paper or software tools can be used to manage the time axes.
  • Create a priority matrix with the columns corresponding to the different courses, the rows corresponding to the priority levels and the cells describing the elementary tasks. Each task has its priority and the course to which it belongs. You can also have a column for common tasks that don't belong to any course. The closer a deadline is, the higher the priority of the task. The more important the task, the higher the priority. If a specialized software tool is used, a third dimension representing time can be added.
